Planning and coordinating administrative procedures and systems and devising
ways to streamline processes.
Allocate responsibilities and office space.
Assessing staff performance and provide coaching and guidance to ensure
maximum efficiency.
Monitor costs and expenses to assist in budget preparation.
Oversee facilities services, maintenance activities.
Organize and supervise other office activities (recycling, renovations, event
planning etc.).
Able to prioritize multiple assignments.
Knowledgeable about organising team events .
Analytical and able to resolve administrative issues.
Monitor inventory of office supplies and the purchasing of new material with
attention to budgetary constraints.
Documents meeting minutes for staff, manage action items.
Coordinate with other Executive Assistants to schedule meetings.
Provide general department administrative processes.
Leadership support.
Printing, collating, as needed by the team.
Ensuring timely preparation and processing of expense reports.
Coordinating Executive Team Meetings, company conferences and meetings
with Vendors.
Track all documents for approval and signage.
Develop and maintain a deep knowledge of the company business processes
and systems in support of the duties and responsibilities of the position.
Maintain Office facilities as needed.
Provide administrative support to senior leadership .
Able to take notes during brainstorms and team meetings.
Handle meetings logistics (for both large and smaller team meetings) and
oversight.
Arranges teleconferences and meetings.
Arranges and coordinates travel schedules and reservations when required.
